Colorado SIS Users Group Meeting Minutes from October 11, 2010
Location: Douglas County Public Schools, Castle Rock, Colorado

Opening Statements:
Welcome from Board President, Guy McPherson and introductions of attendees.

Attendees: Seth Whitworth (Greeley), Chris Blasi (Adams 12), Tina Chaddick (Adams 12), Shellie Scobee (Elizabeth), Kathy Knowles (Elizabeth), Misty Flick (Greeley), Carrie Sullivan (Littleton), Mark Richardson (CIC), Shelly Carlstrom (Platte Canyon), Patty Roundy (Aurora), Mario Cartaya (Jeffco), Jerry Windsor (Eaton), Sarah Fredrickson (CIC), Sue Warrick (Littleton), Shelley Tailer (Douglas County), Guy McPherson (Academy 20), Tina Madison (Woodland Park)

Guy stated that the September meeting was the Fall Users Day and that the presentations from CIC and CDE are available on the CSIS website. He noted that the new board had a retreat in August at Shelley Tailer’s home and thanked Shelley for hosting the retreat. 

Conference Update:
Infinite Campus will no longer be offering as many Interchange Conferences as in the past and will not be joining efforts with us this year. CSIS group will work with IC to get our conference posted on their website.

The Colorado SIS Users Conference will be held this year on February 7 & 8, 2011 at the same location as the 2010 conference, Doubletree Hotel located at 3203 Quebec Street, Denver, Colorado. CIC will be involved in many of the sessions. The attendees agreed that we should work to draw districts from across the U.S. as user’s group conferences are limited. Shelley Tailer is the conference liaison and has been in contact with the hotel. Due to limited funds in school districts there is a concern about funds being available for attendees to travel to the conference and stay for both days. 

CSIS Meetings:
Meeting locations – possibly looking to consolidate at a location on the I-25 corridor, and/or enable web attendance, and/or recording the meeting for review later on.  If anyone knows of a company or place where we could host a meeting with the ability to provide the technology.

o WebEx idea – CIC could provide that WebEx (as per Sara)

The board discussed ways to keep the monthly meetings productive. Meeting format – will be trying to moderate to keep the information shared with the entire group.  If necessary, some information will be encouraged to share between individual people or districts. Ideas from the group on what they would like to see covered.

CIC Update Report:
Sarah Fredrickson reported on the list of current IC bugs. 
- State reporting known issues:
o Bug numbers available for anyone interested
o The BA at IC sends Mark and Sara the bug list bi-weekly
o 31847 --  Title 1 questions
 Title 1 adjustment in the Student Oct Count – certain student showing as Title 1 but should not be.  Investigation.
o Pre-coded labels – not extracting
o Race/Ethnicity issue – in prioritization
o Dec count issues 
o Safety and Discipline report not working – resolved in 1042 (next release out within the 
next week)
o Fed Race Ethnicity – needs to report state race code (released in 1038)
o October Extract pulling more than 1 record/student – need more information on this 
issue
o State focus group tomorrow – CIC can send update from that meeting
- Campus Community Portal 
o Feedback requested, particularly on ability to find the appropriate documents (to CIC)
o Old Campus portal will be replaced eventually by the Community Portal
o Suggestion from group – it would be great to see the bugs listed on the Campus Community Portal
- Upcoming Training, etc:
o Data Health Check coming out – demo next meeting
o CIC – Learning lab tab shows training sessions available and coming up (www.cicesp.com) – another bootcamp coming in Novemeber (condensed version of the PK1 class)
 Feedback – would like to see classes scheduled within CIC more timely (ie: Scheduling in the Fall/early winter vs later in the year).
 SQL schema and Reporting coming up – generally popular
- Gradebook Changes?
o Discussion regarding Gradebook updates to be scheduled for the next meeting
- Shoutpoint update
o Client successfully testing the IVR and text’ing

District Sharing:
- Adams 12
o Zonar systems – Pay for it as the billing method.  Aurora thinking of going with this solution as well.- Greely - Misty
o Thinking of using IC for tracking highly qualified – flagging courses and pulling more information regarding highly qualified.  No one else doing similar (some 
o Health flags – want to know how the switch to the new health tabs went, particularly with flagging certain conditions vs. others.
- Platte Canyon
o Implementing online pmt through IC – running smooth so far.
- Aurora
o Implementing Synaptic Mash – difficulty with the data migration.  Hoping to use the gradebook to a small pilot to compare to the new IC Gradebook.
o Destiny – working on integration with IC and Pay for it.  Some difficulty with communication and 
- Jeffco
o 3 new tabs for teachers to enter grades – grading by standards on steroids.  To simplify grading for teachers
o Data warehouse
- Eaton
o Question on how many districts are using F/R within IC?
 Most are using a 3rdparty vendor
- Littleton
o Campus Survey Tool – capture teacher technology skills assessment
o Medicaid? – Aurora has some integration, Adam 12 has looked at it, D20 using Medicaid within IC as well as SPED.
o End of Year – Next year any student that is a 5th yr senior, we could put an A file record in for these students.  More information should be coming out for this from CDE 
(districts need to know this information now).  Suggestions/Agreement that the RITS system should include the student id as well as what year the student should be graduating.
- DCSD
o IEP program difficulty again recently – may look at IC again.
o Updated EPR to match the State GLEs, including updated grading scale – some push back, but, generally going well.  Technically in place.
o Other stuff coming – Data Warehouse/Interim Assessments
o Non-IC related – Google Apps
- Academy 20
o Implementing Pay-for-it – rolling out at high schools in January.
 Using it to register for summer school – want to let them register for summer schools, close the class when it’s full, pay for it, etc.
 With SSO – parents are passed to the Pay-for-it site without having to log in.
o Using Teacher scored assessments within IC – some other districts are using/implementing/reviewing it.  Issues:
 Cannot make % show up in the teacher scored assessment Doesn’t put a date on the initial test – so, it is mixing the scores with tests from other dates
o CDE considering a state ed student information system – RFI
 In “The Scoop” from CDE – Power School has a pilot with CDE to 
o CDE may create or provide a IEP program
- Misc
o CDE Scoop – idea to get our conference listed there.

November CSIS Meeting:
Meeting scheduled for November 8, 2010 in Aurora. 
Topics to include:
- CIC Presentation on Data Health Check
- CIC Presentation on the Gradebook 
- Alan Ball present on Campus Standards – what a user could do or know to use the product.  The standards will be used to define how IC provides training.
- Standards based gradebook, reports, etc discussion
o Sara will follow up on what could be done for standard based grading – possibly have someone from IC present
